13.462 Coordinator, Health Information Services (Full Time)


Job Summary 

Coordinator performs under minimal supervision varied tasks and office administration support to Manager, Telecommunication/Transporting and Director of Health Information Services. Responsibilities require the frequent use of tact, discretion and independent judgment. This role includes managing workflow for both WRH Met & Ouellette Campus Communication and Transporting along with assisting other departments within the Health Information Portfolio. This role also includes for both campuses, assigning tasks, monitoring progress and maintaining momentum for specific projects. Responsible on a day to day basis for communication within departments and/or other related departments, organization, payroll, maintaining multiple spreadsheets, managing database for external patient transportation, invoicing and reconciliation for external transporting, staff training on process for external patient transfer, data completion, composing emails, maintaining paper and electronic files, creating documents, generating and creating reports, technical support, invoicing, telephone and/or fax line repairs, maintaining staff requests and information for Met & Ouellette Campus.

Qualifications

  • Post Secondary Education required, Office Administration (Medical) diploma asset
  • Basic organization and functions of Telecommunication, Welcome Desk and Transporting both internal and external for Met & Ouellette Campus
  • Payroll, scheduling appointments experience required
  • Ability to work effectively within a collaborative team environment
  • Standard office administrative and secretarial practices and procedures
  • Advanced level of skill in Microsoft Excel, Microsoft Word, Microsoft Outlook, and other software programs used within Health Information Services
  • Effective communication with and understanding of others ability to communicate in the French Language would be considered an asset

Responsibilities

  • Responsible for schedules and payroll sheets for Transporting and Switchboard employees for Met & Ouellette Campus
  • Keeps Manager and Director informed of departmental activities and or issues for Met & Ouellette Campus
  • Responsible for month end balancing of payroll and scheduling activity both sites
  • Responsible to communicate and document instructions with Health Office re payroll for Modified employees for Ouellette and Met Campus
  • Maintain workload productivity spreadsheets for Transporting and Communication teams for Ouellette and Met Campus Transporting Transcription and Coding & Abstracting in spreadsheets
  • Arrange for repair of telephones, relocation, PBX equipment for corporation with Bell Canada and/or Telephone Technician
  • Arrange for Nuance voice activated system all changes in relation to extensions etc.
  • Obtain and distribute corporate long distance codes
