Job Summary

The Transformational Care Team works with health service providers across the region to improve the patient experience, achieve better patient health outcomes, and use health system resources more effectively. In support of this endeavor, the Transformational Care Team is seeking an Administrative Assistant with relevant experience in a clinical or administrative environment within the healthcare system.

The successful candidate for the position of Administrative Assistant has proven experience in a fast-paced office setting, with demonstrated success in managing time-sensitive and competing priorities. This entry level position is suitable for an individual with superior customer relationship capabilities and strong MS Office Suite competencies.

The Administrative Assistant is responsible for providing administrative support to the Transformational Care Team staff in activities inclusive of, but not limited to, the management of day-to-day operations of the office; coordination of meetings and their requirements; to maintain a busy calendar of events and meetings, and to assist with the scheduling of same.

Qualifications

Preference will be given to candidates with:

  • High School Diploma required
  • Completion of relevant education is required (i.e. Office Administration or Administrative Assistant Diploma/Certificate)
  • Post-secondary education in business or office management is an asset
  • Previous experience in a clerical, administrative, or similar role
  • Experience within the healthcare industry is preferred
  • 1-3 years administrative experience in an office setting, preferably within a healthcare environment
  • Strong customer-service orientation and interpersonal skills are required
  • Demonstrated experience in and knowledge of the general office administrative processes is required to ensure the efficient provision of administrative support while adhering to corporate policies and procedures at all times
  • Skilled with Microsoft Office products, such as Word, Excel, PowerPoint, Outlook, etc.
  • Experience in adapting quickly to changing needs and requirements with the ability to multitask and handle frequent interruptions

Responsibilities

  • Primary responsibility for scheduling appointments and meetings within the Director’s calendar and for the booking of additional resources as required (i.e. for conference calls, etc.)
  • Provision of general administrative support to the Transformational Care Team as needed. This may involve collecting and compiling of data, producing reports or presentations, preparing written correspondence, responding to telephone enquiries, photocopying, scanning, assisting with travel arrangements, etc.
  • Preparation of materials for meetings and conferences (Agendas, etc.) and attendance as required for the purpose of recording of Minutes in a timely and accurate fashion, and providing needed clerical support to events. Assist with planning of meetings and events by booking/coordinating resources, arranging for refreshments, and other relevant duties
  • Establishes and maintains appropriate files, both manually and computerized. Prepares and maintains a variety of documents, correspondence, reports, presentations, etc. with an eye to accuracy and completion of any follow-up needed
  • Other related clerical/administrative duties as required to assist the Team in their day-to-day responsibilities

Other Conditions:

  • Must be able to travel within the Erie St Clair region occasionally, if needed, using own vehicle
  • Must be able to be flexible to work non-standard work hours if required for the needs of the Team
  • Must be available to perform other duties as assigned
  • Must meet the benchmarked standards and requirements of the job
  • Must follow all company policies and procedures

Location: Chatham

Status: Permanent, Fulltime (37.5 hrs/week)

Start Date: ASAP

Salary Range: $29,250 to $39,500 depending on experience

Vacation: 3 Weeks
